Remember the first time you visited a Toastmasters club as a guest? With a spark of curiosity, you sat through the whole meeting wondering when will you be able to talk on the public platform with confidence and grace as that of experienced Toastmasters.

However, you may have felt lost or overwhelmed with the amount of activities happening on stage. This feeling of overwhelm is one of the biggest barriers for a new member to join your club

This is where the Guest Packet comes in. The Guest Packet is everything that what we need to make our guests join the club with enthusiasm and a zeal to learn.

What is a Guest Packet?

A guest packet is a personalised packet customised for the guests containing information about Toastmasters program, the benefits of membership, information about the specific club, and a “call of action”- an opportunity to join. It has two purposes: to help the guest during the meeting and to help them remember to join/ come back.

Guest Packets should be provided to prospective members at club meetings, open houses, or special events.

The virtual twist.

With the current pandemic conditions, most of the club meetings are being conducted online. Thus, guest packets are improvised into virtual PDF documents instead of the traditional ink and paper. An additional benefit of virtual E-packets is that the design and templates could be played around with, in order to make it more appealing to the guests.

What does a Guest Packet contain?

Let’s unpack what an ideal guest packet should contain. We are categorising the guest packets into GOOD, BETTER, BEST categories, to get an insight into an ideal guest packet. It’s not a hard and fast rule to follow this categorisation, but nonetheless it makes sure to include everything to convince a guest to join the club.

  • ❖  Includes all of the above plus the following

  • ❖  Briefly defines meeting roles (Brochure: Toastmaster Wears Many Hats)

  • ❖  Brochure: Find your voice

  • ❖  Brochure: Your path to Leadership

  • ❖  A personalised message to the guests

  • ❖  Links to the club’s social media handles (Club and District)

  • ❖  Video links (for virtual E- packets)

  • ❖  Any other brand-compliant creative material by the Club.

  • It is very important for the club guest packet to have a personalised touch. The guests should feel the touch of homeliness, a sense of belonging and conviction that would propel them to join the club. On the other hand, it should have a professional appearance as well and should adhere to appropriate/ effective use of Toastmasters branding.

    We should keep in mind that too little information or too much information can make a packet ineffective. We want to cover all the necessary information but not overwhelm the guests with too much data so that they run away as far and fast as they could!
